Members and Roles
Guides the differences between workspace owners, managers, and editors, and how to invite team members and manage permissions.
Workspace roles affect the entire workspace’s members, settings, resources, and management permissions, not just a single project. Be careful not to confuse them with project‑level sharing permissions.
Workspace Roles
Scope by Role
Owner
The ultimate manager of the workspace. Can manage members, policies, and billing.
Manager
Can invite and manage members, and handle workspace policy operations.
Editor
Works with the workspace’s projects and approved resources. Management settings may be limited.
The settings and actions visible on the current screen may vary depending on your role, workspace type, and operating policy. If a button is missing, check with the owner to see if your role is insufficient.
Inviting Team Members
- 1
Open Workspace Settings
Open settings from the profile menu at the bottom left and navigate to the Workspace Members section.
- 2
Enter Email
Type the exact work email of the person you want to invite. When inviting multiple people, double‑check the addresses.
- 3
Select Role
Assign the minimum role necessary for the actual work. A simple reviewer may be better invited as a project commenter rather than a workspace member.
- 4
Check Invitation Status
Verify whether the invitation was sent, failed, or if the person is already a member or pending.
- 5
Review Members Regularly
Adjust roles, move teams, and clean up access when contracts end or people leave.
Comparing Workspace Roles and Project Permissions
- Workspace roles: Owner, Manager, Editor
- Project sharing permissions: View, Comment, Edit
- Workspace members can have broad access to projects depending on policy.
- External reviewers can be added to specific projects without becoming workspace members.
- Having project edit rights does not grant the ability to change workspace billing or policies.
Criteria for Assigning Roles
- Keep owner rights to the minimum number of people who need billing and final ownership.
- Review managers for those who run the team but don’t need billing ownership.
- Deck creators start as editors.
- Clients and external advisors should be given view or comment rights first.
- After temporary collaboration ends, verify both project and workspace access.
When Invitation Emails Fail to Deliver
- Verify the email address and domain.
- Ask the recipient to check spam or security quarantine.
- Confirm whether they already signed up with a different email.
- If the invitation shows a failure, retry after a short wait.
- If urgent, share a specific project link, but confirm external sharing policy.
Avoid granting excessive permissions for convenience. Especially keep billing and member‑management rights only for users who truly need them.
